Responsibilities

Under the direction of the Director of Operations, the Program Manager provides confidential administrative, secretarial and project management assistance for Care Coordination Enterprise. The incumbent in this position represents Care Coordination Enterprise and assumes a team leadership role when necessary. This position will assist the Director of Operations for Care Coordination Enterprise, Sr. Director Acute Care, and Sr. Director Post-Acute Care for administrative and project needs. The Program Manager will work closely with Care Coordination Enterprise leadership on projects to prepare comprehensive action plans, coordinating tasks, schedules, along with administrative duties. The primary responsibilities will include preparing reports and presentations, meeting minutes, managing invoices, coordinating projects, calendars, and meetings. This role needs to be extremely efficient, organized, resourceful, and flexible. Strong interpersonal skills, decision making skills, verbal and written communication skills, and attention to detail are important skills to possess in this role.

Accountabilities:

· Demonstrates the ability to complete required written and/or computer assignments/projects within the identified time frames.

· Composes and drafts written correspondence, reports, special projects and technical materials for department staff.

· Records and transcribes minutes and memoranda from verbal discussion.

· Assists with long term projects by monitoring and tracking action steps and updating plans.

· Edits, proof reads and distributes materials for department staff.

· Receives, screens and handles telephone calls and mail; responds to contacts and inquiries as appropriate.

· Refers correspondence/telephone calls to other members of management as appropriate. Points out issues requiring action.

· Schedules and maintains calendar as required.

· Coordinate meetings, events, activities, retreats, etc. Arrange for meeting location and any necessary equipment and food needs

· Ensures agendas and supporting materials are collected and distributed prior to the meetings.

· Prepares presentation materials; confirms attendance; reserves meeting rooms and meals; schedules and assigns employee/guest presentations; and completes meeting minutes in a timely manner.

· Accountability includes preparation and distribution of agenda packets, minutes and all backup materials to each meeting participant.

· Committees meet at different locations within Dignity Health, requiring this position to travel.

· Complete expenses through Concur accurately in a timely manner that follows the Travel and Expense policy.

· Maintains subject and confidential department files.

· Performs other duties that may be assigned, or necessary to ensure all work and arrangements are complete, accurate, and in compliance with procedures.

Experience

· This position requires six years of increasingly responsible program management.

· Minimum of 4 years’ experience in a program management, support, or project coordinator role.

Comprehensive knowledge of healthcare and/or care coordination preferred.

· Comprehensive knowledge of healthcare and/or care coordination preferred.

Education

· Associate Bachelors’ degree required or working toward completion and completed within two years.

Special Knowledge, Skills

· Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint, Visio), with the ability to become familiar with other programs and software.

· 60wpm accurate typing.

· Proficiency and effective collaboration and communication skills and exceptional interpersonal skills.

· Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.

· Proficiency in file management, transcription, and other administrative procedures.

· Knowledge of medical terminology

Ability to:

· Maintain excellent skills in the area of interpersonal relations. Must be able to develop and maintain cooperative working relationships. Must maintain daily contact with a variety of audiences requiring a positive and courteous attitude

· Function independently and effectively with minimal supervision, demonstrating initiative, responsibility and good judgment.

· Independently manage, organize, set priorities and execute workload efficiently in a timely fashion in a highly stressful environment with multiple demands, changing priorities and frequent interruptions.

· Transcribe dictation and compose letters and memos.

· Prepare professional quality visual aids for oral presentations.

· Effectively manages and coordinates a variety of projects, many of which are sensitive/confidential within established time frames.

· Maintain calendars for appointments and meetings.

· Interact with a variety of people in a calming, courteous, tactful, and diplomatic manner displaying and demonstrating a positive, caring attitude, exemplifying the values of Dignity Health.

· Maintain professional appearance and behavior while creating a cordial, hospitable atmosphere.

· Demonstrate proper telephone etiquette.

· Maintain accurate records, prioritize work and follow through independently on projects with frequent interruptions.

· Handle requests, which require detailed knowledge of department policies and procedures.

· Give attention to detail and excellence within all areas of responsibility.

· Demonstrate excellent listening skills.

· Consistently exhibits a polished and professional image.

Travel
