The Manager of Material Management reports to the Vice President Chief Financial Officer. This position is responsible for the day-to-day operations and supervision of the Purchasing & Stores department, timely purchase and delivery of materials and goods, accurate documentation of transactions involving supplies and equipment consistent with the Mission and Philosophy of Dignity Health.
Position Scope: The incumbent is responsible for the timely purchase and distribution of medical supplies/equipment; accurate recording of supplies issued to departments and patients to ensure proper cost accounting and revenue recovery. The incumbent will ensure that product inventory is maintained at adequate levels by ordering, receiving and storing supplies; interfacing with medical and nursing staff concerning needed supplies and providing information on present inventory; checking and arranging for repairs on equipment; completing cost analyses on supplies provided to keep charges updated. This position is responsible for hiring, developing, motivating, counseling, and evaluating staff to ensure they remain competent in their duties and monitoring their work to maintain established standards. In addition, this position will develop and maintain the department’s operating and capital budget. The incumbent develops and maintains written policies and procedures pertaining to department duties. It is the incumbent’s responsibility to disseminate this information to subordinates in a timely manner. The day-to-day operations will include orient staff, train, prepare schedules, payroll processes, and evaluating subordinates; monitoring departmental budget parameters; developing and writing departmental policies/procedures; facilitating staff meetings and assisting staff in seeking methods to improve current work practices and departmental operations. The incumbent will also maintain and improve morale of culturally diverse staff while maintaining a disciplined and productive work environment. Mentoring staff, as well as providing appropriate rewards and recognition, in order to maintain a satisfied and qualified work force requires constant focus in light of the increasing complexity of labor relations and union agreements. Reporting to this position include but not limited to Distribution Tech, Receiving Clerk, Inventory Control Tech and clerical support. Major Challenges: Maintain quality service functions, high productivity and morale while meeting the department’s goals and objectives in a cost-effective manner. Maintain department costs within approved budget allowances and to develop staff to work effectively and independently.
Three major human resources challenges exist for this position. The first is the effective recruitment and retention of qualified staff. The second is to maintain and improve morale of culturally diverse exempt and non-exempt staff while maintaining a disciplined and productive work environment. This position has the accountability and authority to evaluate, train and supervise the day-to-day operations; order and authorize payment of supplies and equipment; approve timecards; revise or formulate departmental policies/procedures; flex staffing to meet productivity targets; human resource actions such as but not limited to the hiring of qualified staff, all levels of corrective action including termination.
Five years of materials management experience
Two years of supervisory experience in a comparable setting or an equivalent combination of education and experience.
Knowledge of budgeting and financial management
Must have conflict management and problem-solving skills
Experience with quality improvement principles
Effective oral and written communication skills
Must have human resource management, principles and practice of effective supervision
Must be proficient with computer software tools, including word processing, spread sheet, data base, and other application packages
Materials management which must include two years of supervisory experience in a comparable setting or an equivalent combination of education and experience. 5 years Knowledge of budgeting and financial management, conflict management and problem-solving skills, quality improvement principles, effective oral and written communication skills, human resource management, principles and practice of effective supervision, and a working knowledge of computer software tools, including word processing, spread sheet, data base, and other application packages.
